Please carefully read our booking terms and conditions that will form a legally binding contract between you and PureBikeTours (PBT), once you book your tour and we accept it. We will assume you have read these terms and conditions and that your booking is complete and true. When you complete your booking along with any other rider’s mentioned on the booking form. You acknowledge and agree to accept our booking conditions.
Our Commitment to You
1. Your Financial Protection
1.1 In accordance with ”The Package Travel, Package Tours Regulations 1992”, all passengers booking with PureBikeTours are fully insured for the initial deposit, and subsequently the balance of monies paid as detailed in your booking confirmation form. The policy will also include repatriation if required, arising from the cancellation or curtailment of your travel arrangements due to the insolvency of PureBikeTours. This insurance has been arranged by Towergate Chapman Stevens through HCCI International Insurance Company PLC.
1.2 In the unlikely event of Insolvency you must Inform Claims Settlement Agencies immediately on +44 (0) 1702 427 239 or at submitclaim.co.uk/TDC15. You can also write to them by email info@csal.co.uk or by post at 308-314 London Road, Hadleigh, Benfleet, Essex, SS7 2DD. Please ensure you retain the booking confirmation form as evidence of cover and value.
1.3 Policy exclusions: This policy will not cover any monies paid for Travel Insurance or any claim relating to Air Flights. Please ensure the Company you have booked with has the appropriate CAA / ATOL Bonds in place.
2. Tour Operator
2.1 The following booking conditions form the basis of your contract with PureBikeTours (we, us, our or PBT refer to PureBikeTours). Please read them carefully as they set out our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have read these booking conditions and agree to them.
2.2 PureBikeTours are the sole operators of all motorcycle adventures (RoadTrips(s) advertised on our website: Edwinstowe House, Centre for Business Excellence, Edwinstowe, Nottinghamshire, HG21 9PR. We at PBT reserve the right to decline any booking at our discretion.
2.3 The Participant (you, his or her or their, refer to the rider/client booking through our website or email) is the person making the booking and is listed on PureBikeTours booking form, or you are the group leader booking a tour with PBT for your riding group.
3. Acceptance of Risk
3.1 You (the participant) will take full responsibility for your safety and that of your own riding. Taking care of your motorbike, show consideration for the safety of your riding group members and other road user’s.
3.2 Booking your motorcycle adventure with PBT. You do so knowing that driving standards and conditions in developing countries are far different from your home country. Our motorcycle adventures travel to remote destinations in the Himalayas that include remote areas, where events are less predictable. The unexpected is the norm in these areas and despite painstaking planning and organisation. Our roadtrips can never be taken for granted like regular motorbike tours. Many of the places that we visit do not have the same quality of emergency cover and hotels often do not approach the standards of the West.
3.3 Motorbike riding in distant location’s, the road safety is something of a luxury, which means risk is inherent, but, this can be limited by taking precautionary measures whilst out on the road.
3.4 Once you submit your online booking form and has been accepted by PBT. These Booking Terms & Conditions represent your contractual responsibility with PBT.
4. Pricing
4.1 We’re the small-group motorcycle adventure experts to the Himalayas and have been since 2009. We got that way by listening to our rider’s and giving them what they want. Great destinations, incredible riding terrain and friendly guides at great prices. Your rider price is guaranteed not to increase once you book your Himalayan roadtrip. Please check what items are included in your rider price on the “What’s Included” list shown on your PBT website adventure page.
4.2 If you are travelling outside your planned PBT arrival and departure arrangements. You will be solely responsible for all additional payments and costs for taxi’s, transportation etc.
5. Booking
5.1 When making your booking with PBT. You do so knowing that a deposit is required to reserve/secure your place on your chosen motorcycle adventure.
5.2 Once your deposit is paid and received in PBT bank account. Your confirmation invoice will be emailed out to you, and a contract will exist between you and PBT.
5.3 All rooms are available on either “twin sharing”, “double sharing” or “single room supplement” basis.
6. Payment
6.1 To secure your place. The initial deposit required is £350 Sterling per person (and for each of the participants) named on the booking form. Once we have received your deposit(s). Your chosen motorcycle adventure will be reserved in your name (and in the names of your group members).
6.2 All final payments are due 90 days or 12 weeks (3 months) before your departure date.
6.3 Deposits and final payments can be made by cheque to PureBikeTours, or by bank transfer or online transfers. For bank and online transfers, we’ll send you PBT bank details to make this process as smooth as possible.
6.4 Participants booking with less than 90 days or 12 weeks (3 months) before departure date. Full roadtrip price will be due.
6.5 Please note. If your balance payment is not made on due date. We reserve the right to cancel your place without giving you any notice and no refund will be given. All deposits paid towards your chosen motorcycle adventure are non-refundable. Late payment may not guarantee you will receive all the facilities, services or itineraries described on our website after your booking is confirmed.
6.6 If you require a single room. Please tell us, as we can secure your single room with a single room payment along with your initial deposit payment.
7. Motorcycle Adventure (RoadTrip – roadtrip) Costs
7.1 Our rider prices advertised on our website will not be subject to any further increases once your booking has been confirmed. However, PBT reserve the right to pass on any surcharges resulting from external Government actions that might include currency fluctuations affecting transportation or local taxes.
7.2 PBT will only introduce a surcharge, if the increase is 2% of the stated adventure cost. If the increase is more than 10% of the adventure costs. You have the right to cancel your roadtrip and receive a full refund.
8. Booking Transfer
8.1 To carry out a booking transfer to another participant. You must do so in writing and within 14 days prior to your departure date. If the named participant is unable to take part on the adventure. We will make every effort to transfer your booking to another roadtrip of your choice. An administration charge of £50 will apply for the amendments.
9. If You Cancel
9.1 It’s critically important that we protect the viability of our motorcycle adventures and to ensure that rider’s who do not cancel are protected from low group numbers. Your final payment is due 12 weeks before departure. Once this amount is paid, there will be no refund if you cancel with less than 60 days.
10. If We Cancel or Change you RoadTrip
10.1 We reserve the right to cancel your motorcycle adventure, if there are insufficient number of rider’s in your group. You will be entitled to a full refund or you will have the option of changing your roadtrip to one that may be priced lower and a small refund where applicable. Administration charges will apply.
10.2 Minor changes to the motorcycle adventure en route may mean we will have no obligations but to make the best of the situation in order to proceed unhindered as much as possible. Major changes will be brought to the attention of the whole team/group as soon as possible.
11. Your responsibility
11.1 Each participant is responsible for submitting correctly filled booking form. Any discrepancies can cause delays.
11.2 Each participant is responsible for having his or her documents on tour with them. PBT can refuse them joining and include the following:
- Passport valid for six months after your return
- Visa for either India / Nepal or both
- Driving licence
- IDP (International Driving Permit) available from major post offices
- Personal Travel Insurance
- Personal Medication (PBT must be notified of this)
- Any other documents you deem should be on your persons whilst touring with PBT.
11.3 Each participant is responsible for making their own flight arrangements to and from RoadTrip start
destination.
11.4 It is a condition that each participant making a booking with PBT, has in place personal travel Insurance cover. Once your deposit has been paid, it is important that you take out a personal travel insurance policy. Your motorcycle is covered for Third Party Fire and Theft.
11.5 If a participant leaves their PBT motorcycle adventure en-route. No refund will be given. If any participant leaves or terminates his or her roadtrip before tour completion. The participant is responsible for all payments of transportation of his or her bike back to our workshop, with minimum costs of £300 to Maximum of £500 and is payable immediately at site.
11.6 PBT services will terminate at the exact time the participant gives notice of, or moment leaving his or her roadtrip. Any further costs incurred in taxi’s and getting to the airport, are sole responsibility of the leaving participant.
11.7 Physical exertion is part and parcel of motorcycle adventure Riding and it is your responsibility to make sure you are fit enough to join your particular roadtrip.
11.8 For general health advice and vaccinations for India or/and Nepal, please consult your personal GP. And please inform us of any medical condition we should need to know about.
11.9 It is your responsibility to make sure your luggage and personal items are packed and kept safe whilst
on tour. PBT will not be held responsible for any loss or damage.
11.10 If any participant is seen riding recklessly showing no due care for his or her own safety or showing care for their motorcycle, or showing consideration for the safety of his or her riding group or other road users. His ir her roadtrip will be terminated immediately without further notice and costs for transportation of the bike back to our workshop will be payable immediately.

12.2 We strongly advise that you take out a travel insurance policy in order to cover you (and your party) against the cost of cancellation by you; the cost of assistance (including repatriation) in the event of accident or illness; loss of baggage and money; and other expenses and any pre-existing medical condition(s). Failure to disclose relevant information may affect your insurance. Please bring your travel insurance policy with you.
13. Our Responsibility
13.1 We are responsible for the delivery of each element of the roadtrip itinerary you booked through our website. In as far as possible they remain in our control. PBT will not be held responsible for services that may become unavailable en-route due to circumstances beyond our control.
13.2 In keeping with our safety policy, it is our responsibility and we reserve the right, once the motorcycle adventure has started to divert the route at short notice, for the safety and well-being of the entire team. It is our responsibility to make sure unacceptable rider behaviour is not detrimental to the safety or disrespectful to other team members.
14. Force majeure
14.1 Except where otherwise expressly stated in these Booking Conditions, we will not be liable or pay you compensation, if our contractual obligations to you are affected by unavoidable and extraordinary circumstances, meaning any event beyond our control, the consequences of which could not have been avoided, even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination. The act of any government or other national or local authority including port or river authorities, industrial disputes, lock closures, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside our control or the control of the supplier concerned.
15. Complaints
15.1 In the event a participant has a complaint. They must inform the roadtrip leader immediately, in writing, so that a remedy can be found. If still unresolved, the participant should put all their disclosures and evidence in writing within 14 days from their roadtrip finish date and send to: PureBikeTours, Edwinstowe House, Centre for Business Excellence, Edwinstowe, Nottinghamshire NG21 9PR England, Great Britain.
16. Photos & Film Clips (Video)
16.1 Photos and film clips produced by PBT or our rider’s or our representatives during a roadtrip are the property of PBT. Any and all copyrights remain with PBT and PBT can use these materials for promotional and advertising purposes, including images in which individual tour participants can be recognised, without any charge for the use of this material.
17. Law and Jurisdiction
17.1 We both agree that English Law (and no other) will apply to your contract and to any dispute, claim or other matter of any description (hereinafter referred to as “claim”) which arises between us. We both also agree that any claim for any personal distress and intentional financial harm brought by the participant will be dealt with in the English Courts and English law will apply.
